Rules for Using Warp It at University of South Wales

USW PORTAL RULES

The WarpIt system has been developed to make the transfer of resources between departments at USW simple and easy.

Advertising/Adding Items

Ø  Please ensure that items added to Warp-It is authorised by your resource officer before advertising.

Ø  When adding items to WarpIT, please provide accurate information and supporting photos.

Ø  All items added must be able to fit within the lift dimension of the building. For items that do not please contact waste@southwales.ac.uk for further guidance.

Ø  Items can be advertised both internally and externally.

Ø  The minimum time for advertising is 21 days, during this time storage of the item is your responsibility unless otherwise agreed. It is possible to extend, which can be managed by the advertiser.

Ø  Should the item not be claimed or have no interest, items are to be added to Planon for recycling by the advertiser.

Ø  If you cannot find the correct category to advertise, please contact waste@southwales.ac.uk

Please Note: By standard default when items are added they become live internally to USW only. External partners can view and watch USW items but cannot make claims until 14 days from your expiry date.

The user can override this by ‘Add/Remove 3rd Party’ option. By adding the user enables external partners to claim at any time, by removing, the item is restricted to USW Internal only.

Internal Claimed Items

Ø  Please ensure before claiming items that it is approved by your resource officer.

Ø  The Claimant must acknowledge and agrees that:
a) The donated goods will be for the use on USW Premises;
b) The claimant must ensure that the donated goods are safe and fit for their purpose.

Ø  Once the item has been claimed, a message is sent to the advertiser, and the claimant. The message will contain instruction on how to complete the transaction.

Ø  The Claimant is responsible for taking actions to collect the items, please arrange collection promptly via Planon.

Ø  The Claimant will receive reminders to pick up the item, until the claimant changes the status of the item to ‘Collected’.

External Claimed Items

Ø  Items can be claimed by external partners via Warp-it portal.

Ø  The advertiser must contact Estates Helpdesk to arrange a suitable time for any external partners to attend campus for collection.

Ø  The advertiser and Claimer must complete a ‘USW – Release of Liability – Gift of Goods’ form and return to waste@southwales.ac.uk before any items are collected from USW campuses.
